Configuring maintenance

How to set recurring jobs, manage deadlines and attach invoices.

Maintenance is the heart of KLABBY. A good initial setup saves you anxiety and large invoices.

Job types

KLABBY distinguishes three types:

  • Time-recurring: every X months (e.g. checking the first-aid kit)
  • Use-recurring: every Y engine hours (e.g. engine service every 250h)
  • One-shot: planned once (e.g. specific sail replacement)

For recurring ones, completing the job auto-generates the next cycle. You don’t need to think about it.

Adding the first job

From MaintenanceAdd job:

  1. Pick a preset (engine, sail, hull, safety…) or create custom
  2. Set periodicity (months or engine hours)
  3. Attach reference documents if needed (engine manual, tech sheet)
  4. Save

KLABBY notifies you 30 days before the deadline, then 7 days. If you don’t act, status flips to Overdue (never to “Done”: safety rule).

Attaching an invoice

When you complete a job:

  1. Tap Complete
  2. Snap the invoice (OCR extracts date, amount, VAT)
  3. Add mechanic notes if relevant
  4. Confirm

The invoice is archived in Documents, the amount lands in Budget under the right category, and the next cycle of the job is generated.

Engine hours

KLABBY updates engine hours automatically from the Logbook. If you start a trip at 1,247h and end at 1,252h, hour-based maintenance is recalculated on its own.

If you don’t use the Logbook, you can update hours manually from Boat → Engine.

Exporting history

When you sell the boat or send it to insurance, the maintenance log is the documentation that matters.

From MaintenanceHistoryExport PDF. Choose date range and whether to include attachments. The PDF is sorted chronologically, with totals per category.

Best practice

  • Set up the most important recurring jobs immediately (engine, hull check, anodes). Five minutes that save you a year
  • For the first year of use, over-document: better too much than too little
  • Always attach the invoice: history without invoices is worth half
