Managing co-ownership

Invite members, set shares, manage bookings and expense splits.

KLABBY is built for co-ownership. Up to 5 members as equals, no privileged admin. Here’s how to set it up well.

Inviting members

From the boat screen → Members → Invite. You need:

  • Member email
  • Percentage share (sum of all shares must equal 100%)
  • Optional note on role (informative, no hierarchy)

The member gets an email invitation. Once accepted, they see everything you do. They can also invite new members, edit maintenance, book the boat.

Percentage shares

Shares determine how fixed expenses are split: mooring, insurance, ownership tax, planned major maintenance.

Example: boat owned 25-25-25-25 by four members. A 1,200€ mooring bill is split 300€ each.

Variable expenses

Variable expenses (fuel, oil, consumables during a trip) are split by actual usage days, not by share.

KLABBY pulls usage days from the Logbook. If Mark uses the boat 12 days and Anna 6, fuel consumed in that period goes 67% to Mark / 33% to Anna.

Bookings

KLABBY uses first-come, first-served with a 48-hour buffer between trips (for cleaning, refuelling, possible emergency maintenance).

  2. Choose your dates
  3. Confirm
  4. The system warns you if there’s a buffer conflict

If a member wants to edit an existing booking, they can — until it starts. No “let’s swap” over WhatsApp — everything stays in the app.

Audit trail

Every transaction, every booking, every approved decision is logged immutably. Who approved what, when, at what amount. When a member asks “but who decided to replace the battery for 800€?”, the answer is already there.

When a member leaves

A member can leave anytime. Their future bookings are cancelled, their share gets redistributed (manually, by group decision), the history of their expenses stays attributed to them.

When a new member joins, their share is calculated pro-rata on the current year.

Best practice

  • Important discussions outside the app, decisions inside the app
  • Always attach invoices — nothing destabilises co-ownership like undocumented expenses
  • If you’re 4+ members, agree on a “good neighbour rule” early (e.g. “August 15 rotates yearly”). KLABBY respects rules, but doesn’t invent them
